Stationery Files

E-mail is a boon to every online business, saving valuable time and money. One of the best time-saving ways to use your e-mail software is to create stationery files.

A stationery file is an e-mail template that can be used again and again. When you find yourself typing the same message repeatedly, it's time to create a stationery file. Here's how:

1. Create an e-mail message, then save it as a stationery file. (On your e-mail tool bar, click on "file," then click on "save as stationery." Give your stationery file a name at the prompt, and click "OK.")
2. Once you have created a stationery file, you can access it from the e-mail tool bar. (Click on "tools," then click on "stationery," then choose the stationery file you wish to send.)
3. Type in the recipient's e-mail address in the "send to" area, then click "send." That's all there is to it!

(NOTE: The above instructions for creating stationery files apply to most professional e-mail programs. If you don't use a professional e-mail program, call your ISP for instructions.)

Examples of useful stationery files include sales letters, order forms, brochures, FAQ's, free reports, articles, order acknowledgements, special offers, follow-up offers, invoices, newsletters, ad sheets, etc. Newsletters sent via e-mail are actually stationery files!

Stationery files need not be static -- you can modify them or personalize them as needed. For instance, you can insert the recipient's name (or any other information specific to a recipient) in a stationery file. You can include a special offer when sending a stationery file to a specific list. You can change the information in a stationery file, add information to it, or delete information from it. This is particularly useful for files containing modules such as newsletters, in which some modules will change with each issue while others will remain the same.

Stationery files are as easy to create as typing an e-mail message, and you can create stationery files for almost every conceivable business need. Don't overlook or undervalue this useful tool. If you aren't using stationery files, you're wasting time and money!
